The Role
-
Traitology is in search of a driven and seasoned professional to fulfill the role of Operations Manager or Executive Assistant, contingent upon the candidate's level of domain expertise and experience.

The successful candidate will play a pivotal role in bolstering the efficiency and effectiveness of our Functional Leadership Team (FLT) through comprehensive support.

Key responsibilities include the adept management of confidential information, prioritization of tasks, and swift adaptation to shifting priorities.

The role demands a strong capacity for independent initiative, with a focus on proactive problem identification and resolution, coupled with the ability to forge and maintain productive collaborations with both internal and external stakeholders.

The incumbent will be tasked with managing essential operational facets such as calendar organization, travel logistics, meeting coordination, and the oversight of deliverables and workflow processes.

A significant part of the role involves enhancing team communication, coordinating critical meeting documents, and leading efforts to streamline procedures and elevate productivity and efficiency within the team.

This position reports to the CEO.
The Responsibility

Support the FLT with calendar management, including setting up internal and external calls, Board calls, and other meetings.

Manage travel arrangements, including coordination with external travel agents for flights, hotels, rental cars, and car services.

Organize and submit expense reports.

Assist in organizing events, including venue selection, catering, and invitations.

Attend meetings as requested and provide scribing support.

Support document management, including signature execution, tracking, and reporting in coordination with company policies.

Manage board correspondence and conference registrations.

Provide compliance and technology support.
-
Serve as the “hub” for coordinating internal activities, outings and events.

Learn and manage technology setup, including A/V, video conferencing etc.

Support team projects, events, and meetings as assigned.

Assume responsibilities around regular social media, website, and PR updates.
Qualifications
-
5 years of administrative support and office experience, ideally within life sciences.

Bachelor's degree, with a basic understanding of Biology.

Strong organizational skills with a keen attention to detail.

Demonstrated ability to prioritize tasks and work independently, and collaboratively.

Effective communication skills with the ability to interact at all levels of the company.

Excellent Microsoft Office skills, including PowerPoint, Excel, and Word.
